Connect ERP and CRM. Separate responsibilities clearly.

Sales and accounting work with the same customer for different purposes. DataSource connects the supported interfaces and clarifies which data is transferred, and when, between prospect, customer and debtor records.

The starting point

Not every CRM contact is already an ERP debtor account.

The CRM contains prospects and multiple contacts. An ERP debtor account is created only after business approval. Tenant, currency and payment terms are required there. Copying every CRM contact in full would be neither appropriate nor necessary.

We define transitions and authoritative fields together with sales and ERP owners. Vendor, edition and licensing may limit available APIs or import procedures.

What DataSource delivers

Customer objects and business transitions.

Objects and IDs

Distinguish organizations, people, debtor accounts and tenants. Mappings remain stable when names or email addresses change.

Process transitions

Define approved customer status as the trigger. Clarify required values and owners before creating an ERP object.

Feedback

Return debtor account numbers and agreed status or revenue information selectively to the CRM. Transfer sensitive financial data only where required for the business purpose.

Technical scenario / Illustrative example

An approved CRM customer receives an ERP reference.

Illustrative field ownership. The ERP debtor account number is returned only after creation is confirmed. Contacts remain authoritative in the CRM in this example.

Example data and proposed rules. The actual interfaces and business rules are assessed for your project.

Example / Ownership and handover
CRM.companyId ↔ ERP.externalReference
CRM.approvedAccount → ERP.Debitor anlegen
ERP.debtorNumber → CRM.erpReference
ERP.paymentTerms → CRM.paymentTerms
CRM.contactPerson → definierter Kontakt im ERP

Error handling, security and operations

Control duplicates and feedback.

01

Duplicates

Review existing customer data before starting. Similar names are not enough for an automatic merge; uncertain matches need approval.

02

Errors

Report missing payment terms or invalid tenant values as business errors. Resume selectively after correction.

03

Operations

Document approved fields, transfer direction and ownership of each error. Account for vendor requirements and maintenance windows.

Technical questions

Details that matter before implementation.

ERP · CRM · Customers · Debtor accounts · Field ownership · Approval

Can both ERP and CRM be authoritative?

Yes, for different objects or fields. The same field needs a clear priority or a controlled conflict process.

Does this apply to every ERP?

The architecture is vendor-independent; the adapter is not. We assess the specific supported endpoints, versions and licensing terms.

Does historical data need to move immediately?

Not necessarily. A scoped start with active customers may be appropriate; legacy datasets and duplicates are agreed as a separate scope.

For technical clarification

Start with your actual workflow.

Describe ERP and CRM vendors, versions, tenants, relevant objects and approval steps. Anonymized customers with multiple contacts help define the data model.

In our initial discussion, we clarify available access, data ownership and a narrowly scoped first data flow. We then agree on scope, responsibilities and commercial terms.

Discuss your project

Anonymized examples are enough to get started. Please do not send passwords, tokens or personal data from production systems in your initial inquiry.

Data processes

Synchronize data between systems

A customer is updated in the CRM and in the ERP. Which version is authoritative? We design synchronization around business ownership and stable identities so that recurring transfers do not create silent data conflicts.

Platforms

Connect WooCommerce to your ERP

Products are maintained in the ERP, edited again in the shop and updated through files. We connect the data models and clarify which information is owned by the ERP and which remains in the shop.

Process integration

Automate users & access rights

A new employee needs access to several applications. A team change alters roles, and a departure requires access removal. We connect authoritative personnel data to a controlled process for these changes.
