Transfer orders. Keep status traceable.

The shop reports payment, the ERP has no order yet and shipping already has a tracking number. We connect these steps with defined states, unique order references and planned recovery.

The starting point

A status label has a different meaning in each system.

Completed may end processing in the shop but mean invoice posting in the ERP. A partial shipment concerns individual line items; a refund does not automatically mean the entire order is canceled.

We define business events and permitted transitions. Payment, orders, inventory, shipping and invoicing remain separate areas of ownership. The integration makes their relationships visible.

What DataSource delivers

Order handover. Status model. Feedback.

Order handover

Map external order numbers to target IDs. Validate line items, tax and currency values, and delivery addresses before creating an order.

Status model

Map system statuses to business states. Specify partial quantities, cancellations, refunds and subsequent changes separately.

Feedback

Return confirmed target states and shipment information. Handle repeated events and ambiguous write responses using the order identity.

Technical scenario / Illustrative example

Report shipment without reapplying old states.

Illustrative state-machine excerpt. Actual status names are agreed with the systems involved. Events apply per order or line item, rather than indiscriminately to all data.

Example data and proposed rules. The actual interfaces and business rules are assessed for your project.

Error handling, security and operations

Duplicates: validate and operate.

01

Duplicates

After a timeout, check whether the order already exists. Creating it twice can trigger duplicate reservations, invoices or shipments.

02

Ordering

Events may arrive late. Validate the target state and version; isolate problematic transitions for clarification.

03

Reconciliation

Regularly compare open orders across systems. Report unacknowledged transfers and permanently rejected line items selectively.

Technical questions

Details that matter before implementation.

Orders · Inventory · State transitions · Partial shipments · Reconciliation

Can inventory quantities simply be copied from the shop to the ERP?

That depends on authoritative inventory and reservation logic. Otherwise, the same order may reduce available quantities more than once.

How are partial shipments represented?

With line items, quantities and unique shipment references. A single order status is often insufficient.

Are webhooks mandatory?

No. Scheduled API reconciliation may be suitable. Webhooks can reduce delay but need the same identity and retry rules.

For technical clarification

Start with your actual workflow.

Describe systems, status lists, sample orders and line items, and the actual payment and shipping process. A real anonymized failure case helps with prioritization.

In our initial discussion, we clarify available access, data ownership and a narrowly scoped first data flow. We then agree on scope, responsibilities and commercial terms.

Discuss your project

Anonymized examples are enough to get started. Please do not send passwords, tokens or personal data from production systems in your initial inquiry.

Platforms

Connect WooCommerce to your ERP

Products are maintained in the ERP, edited again in the shop and updated through files. We connect the data models and clarify which information is owned by the ERP and which remains in the shop.

Process integration

Process webhooks reliably

An event arrives and needs to trigger an action in the next system. Duplicate delivery, delays or an unavailable target API turn this into an operational process. We develop that workflow with uniquely identified events and verifiable effects.

Data processes

Synchronize data between systems

A customer is updated in the CRM and in the ERP. Which version is authoritative? We design synchronization around business ownership and stable identities so that recurring transfers do not create silent data conflicts.
